Introduction This Privacy Policy explains how Zyberdesk ("Zyberdesk," "we," "us," or "our") collects, uses, shares, and protects information when you use our website, dashboard, embeddable widget, and related services (together, the "Service"). This policy applies to visitors to zyberdesk.com, customers who operate a Zyberdesk workspace, and end users who chat with a Zyberdesk-powered widget on a customer's website. Information We Collect We collect information in a few different ways, depending on how you interact with Zyberdesk. - Account information: name, email address, and workspace details you provide when you create a Zyberdesk account or are invited to one. - Conversation data: messages, attachments, and metadata exchanged through the embeddable widget and its AI answers, including messages from your visitors and customers' end users. - Contact records: information your workspace stores about your own customers (such as name, email, or notes) as part of using Zyberdesk's contact tools. - Content you create: help center articles, custom instructions, form schemas, form submissions, and workflow configurations you build inside Zyberdesk. - Verification data: the source URLs you add, release notes you paste, the public page content we retrieve from those URLs, and the results we generate from them (verdicts, quoted evidence, and suggested fixes). - Usage and device data: log data, IP address, browser type, and general usage patterns collected automatically as you use the Service. - Cookies and session identifiers: used to keep you signed in and to remember basic preferences, as described in Section 4. ## 3. How We Use Your Information We use the information described above to operate, secure, and improve Zyberdesk. - To provide the Service — authenticating your account, rendering your dashboard, hosting your help center, delivering widget conversations, and running AI answers against the articles and knowledge you've given us. - To process AI-generated responses — conversation content, article text, and verification source content are sent to our AI processing subprocessor to generate answers, check articles against your sources, and draft suggested fixes. - To maintain and secure the Service — monitoring for abuse, debugging issues, and keeping accounts and data safe. - To communicate with you — service notices, billing notices, and responses to support requests you send us. - To process payments — subscription and billing information is handled through our payment processor, described in Section 5. - We do not sell your personal information, and we do not use your customers' conversation content to train AI models for other customers. ## 4. Cookies, Sessions & Similar Technologies Zyberdesk uses cookies and similar technologies for authentication and basic functionality — not for third-party advertising. When you sign in, we set a session cookie that keeps you authenticated as you move around your workspace; this cookie is required for the dashboard to function and is tied to our authentication layer. The embeddable widget may also use a local session identifier to keep a visitor's widget conversation connected to the right thread. You can control cookies through your browser settings, but disabling required session cookies will prevent you from signing in or maintaining a widget conversation. ## 5. How We Share Information We share information only with service providers who help us operate Zyberdesk (our "subprocessors"), and only to the extent needed for them to perform that function. We do not sell personal information to third parties. - OpenAI — processes conversation content, article text, and verification source content to generate AI answers and related AI features, including verification verdicts and suggested fixes. - Aistack — provides AI-assisted search/retrieval over your knowledge base. - Cloudflare — stores certain files and documents you upload. - Stripe — processes subscription payments and billing information; Zyberdesk does not store your full payment card details. - Pusher — delivers real-time updates (such as new messages appearing instantly) within the dashboard and widget. - Vercel — hosts the Zyberdesk application and handles web infrastructure/delivery. - We may also disclose information if required by law, to protect the rights and safety of Zyberdesk and our users, or in connection with a merger, acquisition, or sale of assets, with notice to affected customers where practical. ## 6. Data Retention We retain account, conversation, and contact data for as long as your workspace is active, so your help center, verification history, and widget conversations stay usable. If you close your account, we will delete or de-identify your data within a reasonable period afterward, except where we're required to keep certain records (such as billing history) for legal or accounting purposes. ## 7. Data Security We use industry-standard safeguards — including encryption in transit, access controls, and secure hosting infrastructure — to protect information handled by Zyberdesk. No method of transmission or storage is completely secure, and we can't guarantee absolute security, but we work continuously to protect your data and to respond quickly if something goes wrong. ## 8. Your Rights and Choices Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to certain uses of it. Workspace administrators can access and manage most account and contact data directly inside the Zyberdesk dashboard. For anything you can't manage yourself, contact us at support@zyberdesk.com and we'll help. ## 9. International Data Transfers Zyberdesk and the subprocessors we rely on may process and store information in countries other than your own. Where we transfer personal information across borders, we take steps to ensure it continues to receive an appropriate level of protection consistent with this policy. ## 10. Children's Privacy Zyberdesk is not directed to children, and we do not knowingly collect personal information from children under 13 (or the equivalent minimum age in your jurisdiction). If you believe a child has provided us with personal information, contact us at support@zyberdesk.com and we will take appropriate steps to remove it. ## 11. Changes to This Policy We may update this Privacy Policy from time to time as our Service or legal obligations change. If we make material changes, we'll update the effective date at the top of this page and, where appropriate, provide additional notice.
